A Student’s Guide to External Storage: What You Need to Know 

Buy a 1-2TB Solid-State Drive (SSD). Carry it with you. Back it up to a 2nd drive +/or Cloud storage after every shoot.

A reliable drive is the foundation of your workflow, safeguarding the integrity of your assets and how quickly and smoothly you can work.

  • An SSD is faster and more durable for storing, editing and daily carry than a Hard Disk Drive (HDD).
  • For production students enrolled in TRF, VIS, BDJ, 1-2 terabytes of storage, is plenty. External drive storage is required for coursework across film, video, photography, and graphic design production. You will generate high-resolution media and projects and a drive is essential to store, protect, and work efficiently with it all.
  • Students enrolled in non-video courses can manage with 1 TB SSD
  • Match the SSD to your computer’s port. The fastest SSDs only hit full speed on a USB 3.2 Gen 2×2 or Thunderbolt/USB4 port
  • Do not work off your laptop drive or the cloud. Your computer drive will fill up fast and slow down, and the cloud is too slow to edit from.
  • Always back up. Keep a second copy on a backup HDD and/or the cloud — never trust one drive with the only copy of your work.
  • A Cloud storage back-up — optional but strongly recommended. A failsafe third copy, and an easy way to share files with teammates. Never your working drive.

The Difference: SSD vs. HDD

External drives come in two fundamental types: Solid State Drives (SSD) and Hard Disk Drives (HDD). The distinction lies entirely in how each stores and retrieves data.

An HDD records data on spinning magnetic platters, using a mechanical arm that physically moves across the surface to read and write. Because it depends on moving parts, an HDD is slower, more sensitive to physical shock, and more prone to mechanical failure over time. An SSD has no moving parts and stores data on flash-memory chips, reading and writing data dramatically faster, while withstanding drops and jostling far better, runs more silently, and draws less power. BUT SSDs cost more per terabyte than HDDs.

An HDD remains an economical, sensible choice for backup storage, the second copy of your work that lives at home. But for the active, working drive you will rely on every day of your coursework, an SSD is unambiguously the right tool.

Why Not Use Your Laptop or Cloud?

Media projects grow fast, and a laptop’s built-in storage is neither large enough nor safe enough to hold them. Filling the internal drive slows the entire machine, because your operating system and editing software need free space to run well. A nearly full drive means dropped frames, sluggish exports, and crashes at the worst moments. If the laptop is lost, stolen, damaged, or simply, your coursework goes with it. Don’t keep your data/files on your laptop’s internal drive, or pushing to the cloud. Instead, work from a fast external SSD.

Treat the cloud as one layer of your backup strategy, not as the drive you work from. Editing directly from the cloud is throttled by your internet connection: uploading and downloading multi-gigabyte video files takes hours, stalls on slow or shared campus Wi-Fi, and grinds to a halt entirely when you are on location or offline. Editing software also expects media to be instantly available on a fast local disk. Point it at cloud-synced files and you invite dropped frames, corrupted projects, and missing-media errors.

Working with the Cloud

Use Cloud services for sharing, handoff between teammates, and as one layer of a backup plan.

Looking for general-purpose sync cloud services? check out Google Drive, Dropbox, Microsoft OneDrive, and iCloud. Keep a folder on your computer mirrored to the cloud. They are convenient and good for documents, exports, and sharing. Their limits for production media are real: free tiers fill almost instantly at video file sizes, editing directly from a synced folder invites dropped frames and missing-media errors, and most important, sync is not the same as backup. If you delete or overwrite a file, the service faithfully propagates that change everywhere, including your “backup.” Before you rely on one, learn whether it keeps version history and how far back its file-recovery window reaches. Seeing a file “in the cloud” is not proof you have an independent, restorable copy.

Review-and-collaboration platforms such as Frame.io and Sony Ci are built for sharing, feedback, and camera-to-cloud (C2C) upload from set.

●   Temporary storage you pull from, never the only home for your footage.

●   Copy footage to a working drive and a real backup as soon as you can.

One Non-Negotiable Rule: Back Up

No drive — SSD or HDD — lasts forever. Never keep the only copy of your work on a single drive. Follow the 3-2-1 principle wherever you can:

●   3 copies of your important files.

●   2 separate devices or storage systems.

●   1 copy off-site — for example, your working SSD, an archive HDD or SSD, and a cloud or school-provided copy.

A drive is your working tool, not your safety net. The backup is the safety net.

The Backup Workflow

From camera card to safe copies, follow this sequence to protect your work:

1.  CAMERA CARD – Footage lives here first but only temporarily.

2.  WORKING SSD – Copy here to edit. This is your active working drive.

3.  BACKUP + CLOUD – Copy again to an archive drive and/or the cloud.

4.  FORMAT CARD – Only now, once two copies exist, erase the card to reuse.

What to Look for When Buying

Once you have settled on an SSD, four specifications matter most:

  1. For any video production course, a 2 TB drive is recommended, and your archive drive should be 4 TB or larger. A single semester of 4K footage or RAW photos fills space faster than students expect — and RAW files are large enough that even a 200-level course can exhaust a 1 TB drive before the year is out. Entry-level, non-video courses can manage with 1 TB.
  2. Connection type. Look for USB-C rated at least USB 3.2 Gen 2 (10 Gbps), which most modern external SSDs use. If your computer supports Thunderbolt 3, 4, or 5 and your budget allows, a Thunderbolt drive delivers substantially higher sustained speeds that video editors will notice. Confirm which ports your own laptop has before buying. One more detail that students routinely overlook: the cable matters as much as the drive. Not every USB-C cable carries the same data speed, and many — especially charging cables. Simplest rule: keep the cable that shipped with the drive and use that one, and if you need a spare, buy a named-brand cable that lists its speed on the packaging.
  3. Portable SSD vs. bare drive + enclosure. A pre-built portable SSD from a reputable maker (Samsung, SanDisk, Crucial, Western Digital, and similar) is the simplest, most reliable choice. Building your own from a bare NVMe drive and an enclosure can save money but requires more technical knowledge and carries more risk.
  4. Buy from reputable sellers. Storage is not the place to gamble on the cheapest unknown listing. Counterfeit and misrepresented drives are common on open marketplaces. A trusted brand purchased from an authorized seller protects the very data your grade depends on.

Formatting Your Drive

A new drive has to be formatted to a file system before your computer can use it. This one setting decides which machines can read and write to the drive. Format your working drive as exFAT. This will allow you to move between your own laptop and the Newhouse labs, between Mac and Windows. ExFAT is the one format every one of those machines can both read and write.

Warning: formatting or erasing a drive destroys everything on it. Only format a new or empty drive.

A note on speed and ports.  A drive can only run as fast as your laptop’s port allows:

●   1,050 MB/s drives are the safe default. They use the common USB 3.2 Gen 2 (10 Gbps) standard and hit their rated speed on nearly any modern USB-C port — plenty for photo work and HD video.

●   2,000 MB/s drives need the right port. The faster drives (Crucial X10, Samsung T9) reach full speed only on a USB 3.2 Gen 2×2 (20 Gbps) port; on a standard Thunderbolt or USB4 Mac they still work, but at roughly half that speed.

●   Mac users, check first. Most MacBooks top out at Thunderbolt / USB4 speeds for these drives, so check your machine before paying extra for 20 Gbps performance you may not be able to use. If you are unsure what your computer has, check its specifications or ask your instructor.

Recommended Drives for Backup

Your working SSD holds the files you edit every day; a backup drive holds the copy that saves you when the SSD fails, is lost, or is stolen. For backup, a traditional hard disk drive (HDD) is the smart, economical choice: it is far cheaper per terabyte than an SSD, and its slower speed does not matter for a drive you write to occasionally and then set aside. *Prices shift often.

A Note for Collaborative and Post-Production Courses

  • When several people cut from the same footage, the reliable approach is mirrored drives: every team member keeps an identical drive with the same folder structure and media files.
  • Then pass only the small editing-project file between members — the Premiere, DaVinci Resolve, or Avid project — rather than moving terabytes of footage back and forth. Because each person’s project file points to the same relative paths, it opens and relinks cleanly on any team member’s drive.
  • This setup has a second benefit built in. With the full media living on several identical drives at once, your team already holds multiple copies of the footage.
